Inventory Reports & Schedule of Condition
Our inventory report is a comprehensive and detailed description of the items and condition of the property. It describes in detail, all flooring, windows, light fittings, heating and other fixtures such as kitchen cupboards and sanitaryware including all appliances. It includes the colour and condition of walls, ceilings, doors and woodwork. It includes any outbuildings and the garden too.
The report provides a valuable picture of the property and is supported by professional colour digital photography. We use a digital delivery via email to all contacts and the tenant is able to add their comments. The report is updated and saved ready for check out.
We also provide a Contents Report for Holiday Homes to list all moveable items in order to provide a concise record and easy guide to rearranging the furniture back to where it was when those guests decide to change the positioning! Ask us for more details on our bespoke reports.
Note: We would ask that you ensure that the property is completely ready and that any cleaning, decorating or maintenance planned has been completed before we go in to compile the inventory. The property should be in the condition that the Tenant will receive it. If this is done you will benefit from a detailed and most importantly accurate inventory report. All furniture and any other items to be included in the tenancy will need to be present and, by law, must meet the current applicable Fire Safety Regulations. We have to visually see fire labels and it is helpful with beds and settees that we can access these easily.
Check In
At check-In, we will meet the tenant at the property and go through the inventory report carrying out the final checks including recording meter readings, testing smoke and carbon monoxide alarms and finally handing over the keys. The tenant can sign the report there and then, and it will be uploaded to the Agent/landlord.
Check Out Reports
The Check out report provides an accurate description that by comparison with the check-in report will clearly identify for the adjudicator any matters that are the tenant's responsibility. Any discrepancies or variations to the original inventory such as cleaning, damage, missing, or additional items are listed together with the condition. This detailed report together with the evidence of the photography can be used by the landlord/Agent to make a claim against the tenant's deposit if required. Our report will be uploaded to the Agent/landlord together with photos.
Interim/Insurance Inspections
An interim inspection is vital to ensure the tenants are complying with their obligations as set out in the tenancy agreement and can be carried out at regular intervals. We can also visit a vacant property in line with Insurance stipulations on the property. In both cases, we will attend the property and prepare a brief report outlining any major defects or damage. In our experience, an interim inspection report can benefit an Agent/landlord's relationship with their tenant and help resolve any issues before they arise. We can provide a pre-checkout process.
Keyholding
We provide a keyholding service for Agents/Landlords who require a regular check on their properties. We hold the keys securely and when requested will carry out a brief report which we produce with photos. We hold DBS certification and public liability Insurance.
Photography & Video Walkthroughs
If you require photography on your property, we can provide a full set of high-resolution photos and if desired, produce a professional walkthrough video from the exterior into each room with commentary if necessary. Ask for more details.
Terms
Once you have instructed us on a job, we will return the Report around within 24 hours and our invoice will be payable within 7 days. Failure of a payment can delay the report delivery.
